Privacy Policy

This Privacy Policy explains the information processed when businesses and their authorised users use FirstPublisher.

Information we collect

We may process account names, work email addresses, company information, authentication/security data, client/contact data entered by an agency, press release content, billing records, support communications, audit events and limited technical usage data.

Public press release information

Information intentionally included in a published press release, company newsroom or contact section becomes public and may be indexed, copied, syndicated or retained by third-party publishers and search engines. Do not place private or unnecessary personal information in a public release.

How we use information

We use information to provide accounts, publish and distribute content, operate CRM/reporting/billing features, secure the platform, prevent abuse, provide support, process payments, maintain audit records and improve reliability.

Agency/customer roles

For client/contact information uploaded by an agency, the agency generally determines why that information is used in its customer relationship. FirstPublisher processes it to provide the requested platform functions. Agencies are responsible for appropriate notices and lawful instructions to FirstPublisher.

Analytics and security

We may use privacy-conscious hashes, device/referrer information, country-level or approximate geographic information and security events to measure content performance, detect abuse and operate the service. Raw IP addresses should not be retained in analytics when a less identifying representation is sufficient.

Processors and providers

We may use hosting, email, payments, anti-abuse, AI and distribution providers necessary to operate requested features. Data shared with a provider is limited to what is reasonably required for that function and is subject to the provider’s own terms and safeguards.

AI processing

When AI features are enabled, submitted prompts or selected content may be sent to the configured AI provider. Do not send secrets or sensitive personal information unless it is necessary, authorised and appropriate for that provider.

Retention

Operational, billing, audit and security records are retained for periods reasonably necessary for the service, legal obligations, dispute resolution and fraud prevention. Public press releases may remain public unless a valid correction/removal process applies.

Security

We use access controls, authentication protections, encryption in transit, restricted secret storage, audit logging, rate limiting and backup/recovery controls. No internet service can guarantee absolute security.

Your choices and rights

Depending on applicable law, individuals may have rights to access, correct, delete, object to or restrict certain processing. Requests should identify the relevant agency/account and information so we can route the request appropriately.

International processing

FirstPublisher and its providers may process information in countries different from the user’s location. Where required, appropriate contractual or legal transfer safeguards should be used.
